Landlordy Shortcuts and Hidden Features

July 13, 2018 - Landlordy app is focused on ease of use and simplicity. App does not require complex setup process and does not have many tuning options – it is designed to be your handy assistant, requiring as less of your time as possible to keep record on your rental business income and expenses.

Some of the productivity features in Landlordy are hidden from sight and available with simple gestures like a swipe, longtap or 3D force touch (on iPhone models that support this feature). Let's explore these features!

Swipe to copy (or delete) rent invoice, rent receipt or expense


Swipe actions are available in most screens that provide list of items - e.g. list of invoices, payments, expenses, appliances etc.

Swiping on item in the list will reveal Copy and Delete actions - for example swiping on previous month invoice for the tenant and using Copy button will copy all details from previous invoice (the same ir true for rent payments or expenses) and will set today's date for the invoice and adjust payment due date accordingly.

Note that swipe actions are available only while you are in the Properties tab, they are not available in the Reports tab.

While editing files or images attached to your rental unit or tenant you can use swipe actions in the attachment list (tap on image in the edit screen to reveal list of all files attached) to delete attachment or set key image - one that will be displayed in full width in unit/tenant view screen (while swiping left and right on the image will let you see other attached files as before).

Attachment swipe actions are available in the edit screens for property, rental unit, tenant, rent payment, expense, appliance and appliance maintenance/safety check record.

Late rent notice and calendar actions in Reminders


Late payment notices for tenants are available as swipe actions on "late/outstanding payment" reminders in the Reminders tab. Swiping (from right to left) on reminder will reveal [Send late rent notice] action that lets you send email or message from the template (you can adjust template in Settings-Templates section) with actual tenant data filled in.

Late/outstanding payment reminders appear automatically if you have enabled them in the app Settings tab and if you are keeping track of rent invoices in the app (not just tracking rent payments from tenants).

Swiping on "maintenance late" reminder (if you have registered appliances in your rental property and have added relevant maintenance/safety check record) will let you add calendar entry in your default Calendar, scheduled for tomorrow at 11am.

Add expense or rent payment with attachment from Mail and other apps


Any photo or pdf file can be quickly imported in Landlordy as expense or rent payment by using iOS share sheet actions. For example, tap on pdf file in your email then use iOS sharing button and choose "Copy to Landlordy" action in the share sheet.

If you don’t see [Copy to Landlordy] option in your share sheet, scroll sheet actions row to the left to reveal [More…] option that lets you enable, disable and reorder available share actions.

Quickly add expense or rent payment from iOS home screen


On devices with 3D Touch support you can quickly add new rent payment or expense record by force touching Landlordy icon in your device home screen.

3D Touch currently is available on all iPhones starting from iPhone 6s.

Reassign rental expense to another property or rental unit


Landlordy lets you account expenses to property or to specific rental unit in that property. With the single-unit properties it is almost the same thing – only difference is that expenses that are registered under rental unit can be included into tenant rent invoice while expenses assigned to property can't.

If expense happens to be registered under wrong property or rental unit, you can re-assign it to another property or rental unit by longtapping on property/unit header in the expense edit screen. To get to the list of all expenses tap on "Paid expenses" line in the property/rental unit dashboard.

You can use longtapping on rent payment header as well if you need to assign received rent payment to another tenant.

Quickly email or message tenant from the app


If you filled tenant email address and mobile phone number in the tenant/lease details screen you can quickly call or send email/message to tenant by tapping on the email/phone in the Details tab from the tenant dashboard.

Filling these details will also automatically fill email address or phone number of the tenant when you share payment receipt or rent invoice via email or Messages app.

Search internet for the information on appliances


Tapping on appliance name or code/serial number in the appliance view screen will let you quickly search internet for related information about your appliance.

Tracking information about appliances in your rental property helps you to comply with safety regulations by getting reminded on regular checks and maintenances for appliances like gas furnaces or smoke/CO detectors. It is also a perfect way to keep essential information like user manuals and contact details organized and easily shareable with your new tenant.
